"Mailsort Online" is the product name for this online processing service,
as well as our Desktop Mailsort application. They are developed, owned and operated by Bechmann Limited.
Although our Mailsort systems have all achieved
Royal Mail accreditation, we have no links with the Royal Mail or indeed any other parties.
Pricing options and invoicing terms
Using this site for initial data-processing is entirely free of charge. Details
of potential savings are displayed on the site as soon as the processing job is
completed.
Charges do though apply when the user starts the download process, which is initiated by clicking
either of the buttons [Pay via PayPal] or [Pay via normal invoice] displayed on the job acceptance page.
Both buttons are clearly marked, but in the unlikely event that either button has been pressed in error, please
contact us immediately and refrain from downloading any data.
Mailsort Online is a "business to business" service and all fees are
charged by invoice.
Each processing job is invoiced separately and the charges are subject to
our minimum fees applied to each individual service.
All prices are subject to change without notice and are displayed on the
Services page.
VAT at 17.5% is added to all charges.
The applied charges can be paid immediately via PayPal, or we can issue a normal invoice for you.
Please note though that after 28 April 2008 an admin charge of £5.00 is added to all
normal invoices issued. These are due for payment within seven days unless other payment terms
have been agreed. Payments can be made by cheque, BACS or other electronic transfer.
Annual account
Agreement for unlimited usage* is available on application. We will quote on a case by case basis for the annual
fee, and it will largly be based on your pledge for estimated usage.
You may use the table below as a rough indicator to the amounts we would quote. Additional prices
apply to the Mailsort 120-CBC and Mailsort 700 services.
Estimated Usage
Annual Fee
Up to four times per month
£250.00
Once or twice per week
£275.00
More than twice per week or frequent large mailings
A such agreement is for processing mailing lists containing fewer than 200,000 records.
Mailing lists larger than this are charged in addition at 20% of the normal processing fee.
* Fair Usage Policy: The term "unlimited usage" is to be interpreted as "within reason of the estimated usage pledge".
We are very reasonable people but do reserve the right to alter or terminate the agreement if
actual usage differs significantly and persistently from the estimate. Any judgment on this issue is entirely at our discretion.
Mailsort Online will process your data in accordance with the Royal Mail guidelines for
the type of service chosen. In cases where the format of the uploaded data file doesn't
match our recommendation or doesn't contain column names,
our processor will automatically try to find the postcode data
in the available columns as best it can.
Mailsort Online cannot accept responsibility for the content or accuracy of
the uploaded data nor for the resulting processed files. We cannot either be
held liable for any direct or indirect financial or other loss resulting from the
use of the processed data files.
The entire process works without any human intervention and we do therefore
not perform any visual checks that each individual processing batch has worked correctly.
It is therefore vital that before using the processed data, users should
satisfy themselves that the data and cost calculations are in order.
We do though perform periodic
checks on test data to verify that all services are working correctly. The outputs
from our Mailsort processors have also been checked
by the Royal Mail and found to comply with their sorting standards, for which we have
received their accreditation and inclusion in their "Mailsort Suppliers List".
We endeavour to keep the site and processors working at all times, but
we cannot guarantee that this is always the case. Data files are placed in a queuing system and processed in the order they are uploaded. Processing time depends largely on
their size, and queuing time depends on the number of files waiting in the queue and their individual size.
Normally the processing takes place within a few minutes, but for the reasons above we can make to guarantees about
processing times, nor for the availablity of the service.
Any agreement for unlimited usage, or other payment arrangement, does not alter any of the above clauses.
